How we collect your information

We collect information you give us when you phone us, email us or send us an enquiry through this website, and while we are arranging or providing a service for you.

Our contact and quote forms ask for your name, email address, telephone number, location, the service you need and anything else you choose to tell us. We only ask for what we need to reply to you and prepare a quotation. We record which version of this policy was on the website when you sent your enquiry.

If you contact us about someone else

Many people contact us on behalf of a relative, a tenant or a guest. If you do, please make sure they know you are sharing their details with us.

Please do not include medical or health details in your first message. If they are relevant to arranging a service, we will talk them through with you by phone, and we will only record what we need, with the agreement of the person they are about.

Our lawful bases for using your information

Data protection law requires us to have a lawful basis for each way we use your information.

  • Responding to enquiries and preparing quotations: taking steps you have asked for before entering into a contract, and our legitimate interest in replying to people who contact us.
  • Providing our services: performing our contract with you.
  • Keeping business and financial records: complying with our legal obligations, such as tax and company law.
  • Managing our customer relationships: our legitimate interest in running our business well, for example by keeping a record of what was agreed.
  • Health information, where it is needed: the explicit consent of the person it is about.
  • Safeguarding concerns: where we need to act to protect someone from harm, we may share information with the appropriate authorities as the law allows. Our Safeguarding page explains more.

We will not send you marketing unless you have separately agreed to receive it, and you can change your mind at any time.

Who we share your information with

We do not sell your information. We only share it with organisations that help us run our business, and only as much as they need:

  • Cloudflare, which hosts this website, receives enquiries sent through it, and checks that each form is sent by a person rather than an automated program.
  • Resend, which delivers the emails our website sends.
  • Google, which provides our email.
  • Professional advisers, such as an accountant or insurer, where needed.

We may also share information where the law requires it, for example with HMRC or the police.

Some of these providers may store or process information outside the UK. Where they do, we rely on the protections that UK data protection law requires for international transfers.

How long we keep your information

  • If you make an enquiry that does not lead to a service, we keep your details for up to 12 months and then delete them.
  • If you become a customer, we keep your records for six years after the end of the financial year in which our service to you ended, because tax law requires it.

Keeping your information secure

We limit access to your information to the people who need it to do their work, and we use reputable service providers to store and send it.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to limit how we use your information;
  • object to us using your information on the basis of our legitimate interests;
  • ask for information you gave us in a format you can take elsewhere;
  • withdraw your consent at any time, where we rely on it.

To use any of these rights, phone or email us using the details above. There is normally no charge, and we will reply within one month.

Cookies

This website does not set any cookies. Our Cookie Policy explains more.

Raising a data protection concern

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right.

You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

If we change how we use your information, we will update this page.
